From signup to steady operations
A practical walkthrough of the landlord journey in Propello today — the same screens you will use once you are inside the app. For positioning versus agents and DIY tools, see Why Propello.
Most steps below link into the signed-in landlord app. If you are not logged in yet, use landlord signup first — then return here as a checklist while you set things up.
Landlord journey
Roughly the order we see landlords follow in product — adjust to your portfolio.
Create your landlord account
Start from the landlord signup flow, confirm your details, and land in the app when you are ready to add your first property.
Add a property
Capture the property record first — address, basics, and how you run it — so everything downstream (lease, tenant, rent, maintenance) hangs off one source of truth.
Add or connect lease details
Rent amount, payment cycle, key dates, and parties. That drives reminders, renewals, and what shows on the tenant side when you invite them.
Store documents in one vault
Leases, condition reports, invoices, certificates, and notices — organised by property so you are not hunting through email attachments later.
Invite your tenant
When you are ready, invite tenants into their portal so they can see what you choose to share, pay on the terms you set, and raise maintenance without random SMS threads. You send this from the property or lease workspace once you are logged in.
Track rent and receipts
Use the rent ledger to record what landed, spot missed cycles early, and keep an accountant-friendly trail. You stay in control of bank arrangements; the product helps you track and follow up.
Run maintenance with approvals
Tenants raise requests with context and photos. You triage, request quotes where it makes sense, approve work, and keep status visible — including marketplace jobs when you post them.
Message in one inbox
Keep tenant and tradie conversations tied to the property or job where possible, instead of losing context across personal chat apps.
Stay ahead of compliance dates
Use reminders and checklists for common obligations in your state — smoke alarms, safety checks, bond admin, and rent-increase rules. Escalate to a professional when the situation is not routine.
Live on the dashboard
Portfolio view for what needs attention: arrears, open maintenance, upcoming lease events, and tasks. Pair with tasks and calendar when you want a weekly operating rhythm.
Tasks and calendar (optional rhythm)
Some landlords live in the dashboard; others like explicit tasks or a calendar pass for inspections and renewals. Wire whichever fits your style.
Calendar for inspections and renewals
Block critical dates and visits so they are not only living in your head or a personal calendar disconnected from the property file.
Tenants & tradies
Same product, different portals — short version so you know how the other roles fit around the landlord workflow.
Tenant experience
- •Accept your invite and see rent status plus key dates your landlord shares.
- •Submit maintenance with photos; follow approval and scheduling status.
- •Pay on the arrangement your landlord sets (for example direct bank transfer where supported).
- •Message your landlord in-thread instead of losing context in SMS.
Tenant access is invitation-based from the landlord.
Tradie experience
- •Create a tradie profile with skills and service areas.
- •Browse open jobs and submit quotes where the workflow is marketplace-enabled.
- •Complete approved work, upload invoices, and build reputation over time.
